VMS Self Sign-in Guide

The Sensor Access Visitor Management System(VMS) provides a self sign-in kiosk web-app screen. This kiosk screen allows visitors to sign-in themselves. They are prompted to provide essential details and read and sign a building policy before entering.

Below is a screen shot of the landing page of self sign-in kiosk. The Guest/Visitor is presented with 3 options:

 

 

  1. Sign-in

The sign-in process for the visitor management system is designed to be quick and easy for visitors to use. When a visitor approaches the kiosk, they will be prompted to enter their name and company details using the keyboard/ on-screen keyboard. They will also be asked to select the company they wish to visit from a dropdown list.



An email will be sent to the selected company to notify of the visitor’s arrival. You can easily manage the list of companies by editing a text file ‘\text\tenants.txt’.

Once the visitor has entered their details and selected the appropriate company, they will need to read and agree to the building policy. The building policy will be displayed on the screen, and the visitor will be required to agree and sign using the touchscreen. Once they have signed, they will need to press the "Submit" button to complete the process.

After the visitor has submitted their information and agreed to the building policy, they will be created as a new record in the access control system. The visitor will be added to the area specified in the VMS’s configuration file (config.ini), which also has many customizable features to suit the needs of your building/organization.

  1. Sign-Out

When it's time for a visitor to leave the building, they can use the visitor management system to sign-out. To do this, they will need to search for themselves in the system using either their name or company details. The search function will only display valid visitors who are currently signed in and have not yet expired. Visitors who have already signed out or whose visit has expired will not appear in the search results.

Once the visitor has found themselves in the system, they can simply press the "Sign Out" button to complete the process. Depending on the configuration of the VMS system, the visitor will either be deleted from the system entirely or simply marked as invalid and moved to the sign_out_area. This option again can be configured in the ‘config.ini’ file.

  1. Prebooked

 

A pre-booked visitor is a visitor who has provided details in advance of his/her visit. Using pre-booked visitors helps streamline the sign-in process and ensure that visitors are processed quickly and efficiently when they arrive at the building.

The visitor enters their email address, the system will search for any visitor records associated with that email address. The search function will only display records that are currently active and have not yet expired or been cancelled.

Once the visitor has located themselves, they will be asked to sign and agree to the building policy using the touchscreen. The visitor's signature can then be verified from the admin console, and a badge can be issued to the visitor.
